Who we are

Reltaq is a service of GP Dental Consulting Inc. (“Reltaq”, “we”, “us”). Businesses use Reltaq to follow up with people who ask about their services: we call and text those people for the business, book appointments, send reminders, and show the business every call, text and result in its console.

This policy explains what information we handle, why, and the choices you have. It covers two groups of people:

  • businesses that use Reltaq, and the people who log in for them;
  • people a business contacts through Reltaq, usually because they filled in one of its forms, or called or texted it.

Information about businesses and their logins

  • Account details: the business’s name and type, and the name and work email of the person who signs up and of each login added later. Passwords are stored only in scrambled (hashed) form by our sign-in provider; we cannot read them.
  • Billing: cards are saved and charged by Stripe. We never see or store a full card number; we keep the card’s brand and last four digits, and the history of monthly charges.
  • Settings and activity: the details a business enters (such as its address, hours, booking link and the wording of its automatic texts), and a record of who changed what, and when.

Information about people a business contacts

When a business uses Reltaq, we handle this information about the people it follows up with, on its behalf:

  • Contact details and enquiry: name, phone number, email, preferred language, the service or product asked about, and the ad or form the enquiry came from. This comes from Facebook and Instagram lead forms, the business’s website forms, lists the business uploads, or your own call or text.
  • Messages and calls: the texts you send and receive, when calls happen and how they end, call recordings, transcripts and summaries, and notes written by the people who call you.
  • Appointments and orders: when you are booked, rescheduled or reminded, and whether you came in; for businesses that sell products, your orders.
  • Consent and contact records: what you agreed to (for example, on the business’s form), each time we contacted you, and any request to stop.

The business decides why it contacts you, and we act on its instructions and this policy. For questions about how a business uses your information, contact the business, or us and we will help.

How we use information

  • To contact people for the business: answer enquiries, return calls, book, confirm and remind appointments, follow up, and send the business’s messages to people who have not asked to stop.
  • To show each business its own results.
  • To follow the rules on calls and texts: honouring requests to stop, keeping consent records, starting texts only during daytime hours where you live, and limiting how often we contact you.
  • To run, secure and fix the service, and to bill businesses.

We do not sell personal information. We do not use the information of people we contact for a business to market our own services to them, or to market any other business to them.

Text messages

  • Texts come from a phone number Reltaq provides to the business. How many you get depends on your conversation and your appointments. Message and data rates may apply.
  • Reply STOP at any time and we stop texting and calling you, right away. Reply START to receive texts again.
  • Reply HELP, or email [email protected], for help.

We do not share mobile phone numbers, or text messaging opt-in data and consent, with third parties or affiliates for their marketing or promotional purposes. The sharing described below excludes text messaging opt-in data and consent: this information is not shared with any third party.

Phone calls and AI

  • Calls may be recorded and transcribed, so the business has a record of them and so the people who call you can keep accurate notes.
  • Some calls are made by an automated assistant, and only to people who agreed to automated calls on the business’s form. It never claims to be a person.
  • We use AI services to help with parts of the work: recognising what an incoming text asks (for example, the business’s hours), drafting call notes that staff review before saving, and helping businesses write their automatic texts. We send these services only what the task needs.

Who we share information with

  • The business you contacted, which sees everything about its own leads in its console.
  • Service providers that run parts of Reltaq for us, under contract and only to provide their service. These include Supabase (database and sign-in), Render (hosting), Quo (calls and texts), Vapi and the speech and language services it uses (automated calls), xAI (AI text processing), Meta (Facebook and Instagram lead forms and ad results), Stripe (payments), Resend (email), Sentry (error reports), and Shopify (orders, for businesses that sell through it).
  • When the law requires it, or to protect the rights and safety of people or of Reltaq.
  • If GP Dental Consulting Inc. is merged or sold, with the new owner, who remains bound by this policy.

Health information

Some businesses that use Reltaq are healthcare providers. We do not ask for medical history, and we ask that you do not send medical details by text. For questions about health information you have shared with your provider, contact your provider.

How long we keep information

  • While a business uses Reltaq, we keep its records so it can see its history.
  • Consent and opt-out records are kept for at least four years after the last contact, because laws on calls and texts allow claims for that long, and so that nobody who asked to stop is contacted again by mistake.
  • When a business leaves, we delete or return its records on request, except what the law requires us to keep.

Security

Information travels over encrypted connections, every screen requires a login, each request is checked against what that login may see, and access is limited to the staff who need it. No system is perfectly secure, and we will tell affected businesses promptly if we learn of a breach involving their information.

Your choices

  • To stop texts, reply STOP. To stop calls, tell the caller, or email us.
  • To see, correct or delete your information, email [email protected]. We may need to confirm it is you, and where a business holds your information we will work with that business. We keep a record of a request to stop even after deleting the rest, so that you are not contacted again.

Children

Reltaq is not meant for children under 18, and we do not knowingly collect their information. If you believe we have, email us and we will delete it.

Changes to this policy

We will post any change on this page with a new effective date, and email businesses about significant changes before they take effect.
